Data held in the platform can be taken out, in two different senses.
Exporting a report
The financial reports export to a file you can open in a spreadsheet or hand to an accountant — profit and loss, balance sheet, cash flow, and receivables aging among them. See reports.
This is the everyday case: somebody outside the platform needs the figures in a form they can work with.
Assembled packages
Where the purpose is a specific audience — a lender, an accountant at year end, an examination — the packages gather the relevant records into one reviewed document rather than several exports. See tax documents and packages.
A full copy of personal data
Separate from reporting. Data protection law gives individuals the right to obtain a copy of the personal information held about them, and to have it deleted in defined circumstances.
That is a formal request with its own process and timescale — see privacy and data protection.
What an export is not
A backup of the workspace. An exported report is a snapshot in a file; it does not carry the underlying records, the history, or the links between them.
Why it matters that data can leave
Records have retention obligations that outlast any particular system — see record retention. Being able to take a copy is part of meeting them, and part of not being locked in.
Who can export
Follows the role. Someone who cannot see a report cannot export it — see roles and permissions.
