Documents holds employee paperwork and certifications, filed against the person or marked as company-wide.

Certifications and expiry

A certification is recorded with the date it runs out, and anything approaching that date is flagged as expiring soon — separately from anything already expired.

This is the whole reason the tab exists. Licences, tickets and insurance certificates expire quietly, and the usual way a business finds out is at the moment it matters: on a site, at an inspection, or when a claim is made. None of those are good places to discover it.

An expiring-soon list checked monthly costs a few minutes and removes an entire category of problem.

Company-wide versus personal

A document can belong to one employee or to the whole business. Handbooks, policies and insurance certificates are company-wide; offer letters, contracts and individual certifications are personal.

Filing it correctly is worth the moment it takes, because the two get looked for in completely different circumstances.

What belongs here

Anything you would need to produce on request and could not reconstruct: signed agreements, licences, qualifications, insurance, and the paperwork your trade requires.

What does not belong here is anything you would not want a third party reading if the file were ever produced in full. Keep notes and opinions out of a document store; they belong nowhere, or in a conversation.
