AI Receptionists That Work With ServiceTitan, Housecall Pro, and Jobber: What Actually Integrates

AI receptionists vary widely in which field service platforms they actually sync with. Here is what integrates with ServiceTitan, HCP, and Jobber.

An HVAC contractor added an AI receptionist to his business. It answered calls after hours, captured lead information, and even collected the caller's address and the nature of the problem. The problem: none of that information made it into ServiceTitan automatically. His office manager came in each morning and spent 45 minutes manually entering the previous night's leads and creating new job records.

The AI receptionist was answering calls. It was not integrated with his field service software. The result was additional work, not less.

This is the integration question that most AI receptionist marketing skips over: the demo shows the AI answering beautifully, but the actual question for a service business is whether the data from those calls flows into the software your technicians and dispatchers actually use. If it doesn't, you have not eliminated the manual data entry — you have just moved it from the front end to the back end.

Here is what integration actually means in this context, which platforms have real integrations, and the questions to ask any vendor before you sign up.

What integration means (and what it doesn't)

"Integration" in AI receptionist marketing covers a wide spectrum, and vendors use the word to describe very different things.

Native two-way integration means the AI receptionist and the field service software communicate directly. When the AI captures a lead — name, phone, address, service requested, preferred time — that data automatically creates a record in your FSM. When a job is booked in your FSM, the AI receptionist can access that data to answer questions about it. This is the integration that eliminates manual entry.

Webhook-based integration means the AI receptionist can push data to a webhook endpoint, and your FSM can receive that data if configured to accept it. This requires technical setup on your end, typically by someone who knows how to configure workflows in your FSM. It is more flexible than no integration but requires more setup and maintenance.

Zapier or Make integration means the AI receptionist and the FSM are connected through an automation layer that moves data between them on a trigger. This covers a large range of FSM platforms, but adds latency, has potential failure points, and typically requires a subscription to the automation platform in addition to both products.

Export-only integration means the AI receptionist can export call logs, lead information, or transcripts to a file (CSV, spreadsheet) that you import manually into your FSM. This is often marketed as an "integration" but it still requires human action and is only marginally better than having the AI email you a summary.

When a vendor tells you they integrate with ServiceTitan or Housecall Pro, ask specifically which type of integration this is.

ServiceTitan

ServiceTitan is the enterprise-tier field service management platform used by mid-to-large HVAC, plumbing, electrical, and other trades companies. It has a robust API and a partner marketplace.

Avoca is the AI receptionist most commonly recommended for ServiceTitan users. Avoca was built specifically for service businesses using enterprise-tier FSM software and has documented native integration with ServiceTitan's API. When a caller books through Avoca, it can create a lead record, attach call notes, and push job information into ServiceTitan without manual entry. Avoca targets the higher end of the market and is priced accordingly — typically several hundred dollars per month.

Other AI receptionist vendors claim ServiceTitan compatibility through Zapier or webhook configurations. This can work well when set up properly, but it requires a more involved implementation and ongoing maintenance if either platform updates its API.

If ServiceTitan is your FSM and you want a native integration, Avoca is currently the most commonly cited option with documented two-way connectivity. Ask any other vendor to show you specifically how their integration with ServiceTitan works in a live demo before committing.

Housecall Pro

Housecall Pro is used by a large number of small to mid-size service businesses across HVAC, plumbing, electrical, pest control, cleaning, and other trades. It has an open API and partners with several automation tools.

Rosie is an AI receptionist that has marketed heavily to the Housecall Pro user base and has invested in that integration. Their integration allows call data to flow into Housecall Pro customer and job records. Rosie is priced in the range of $50 per month for small businesses.

HouseCallPro also launched its own built-in AI answering features in recent releases, which integrate naturally because they are part of the same platform. If you are already paying for Housecall Pro at a tier that includes the AI answering feature, that is worth evaluating before adding a separate AI receptionist product.

Several other AI receptionist tools — including Aloware, which has acquired some smaller HCP-focused products — offer Housecall Pro integration through their automation layers. The quality of these integrations varies, so ask for a reference customer who uses the same FSM before signing up.

Jobber

Jobber is widely used by landscaping, cleaning, pest control, and general service businesses. It has an API and partner integrations.

Jobber's own built-in client communication features have expanded over recent releases and include automated booking requests and follow-ups. Before adding a separate AI receptionist that integrates with Jobber, check whether your current Jobber plan already covers what you need for after-hours lead capture.

For AI receptionist products that work with Jobber, the integration landscape is less mature than it is for ServiceTitan or HCP. Most available solutions use Zapier or Make to pass data between the AI receptionist and Jobber. This can work reliably if set up properly, but native two-way integration from a purpose-built product for Jobber users is less common.

If Jobber is your FSM, the questions to ask any AI receptionist vendor are: have you completed actual installations with Jobber customers, can you show me the data flow, and do you have a reference customer using Jobber who I can speak with?

Platforms without strong AI receptionist integrations

Some field service platforms have limited or no documented integration with common AI receptionist products. If you use a more specialized FSM — FieldEdge, Successware, Service Fusion, mHelpDesk, or industry-specific platforms in trades like solar or HVAC controls — ask specifically about integration before you buy. For platforms outside the main three, Zapier-based connections are often the primary option.

The questions to ask before signing up

For any AI receptionist you are evaluating, ask these questions before committing to a contract:

What FSM platforms do you natively integrate with, and what does "natively" mean specifically? Get them to describe the actual data flow: does a call create a record in my FSM automatically, or does someone have to take an action?

What information does the AI capture from a call, and where does it appear in my FSM? The minimum useful data set for a service business is: caller name, phone number, address, type of service requested, and preferred scheduling window. If the AI captures these and they appear in your FSM as a lead record without manual entry, you have a real integration.

What happens when the integration fails or the data doesn't sync? Ask how they handle errors, what the notification process is, and whether a human reviews missed data.

Can I see a live demo with my specific FSM? A vendor who has real integration should be able to run a test call in a demo environment that shows data appearing in your FSM.

What is the setup timeline? A real integration requires configuration time. A vendor who promises you'll be live in 10 minutes with no setup has probably not tested this in your specific FSM environment.

The simpler alternative

For businesses that don't use a major FSM or are small enough that manual lead entry is manageable, the integration question matters less. An AI receptionist that captures calls, records transcripts, texts you a summary, and emails leads to your inbox can be genuinely useful even without a formal integration.

In this model, the value is in the call coverage — answering calls you would otherwise miss at 10pm on a Sunday — not in eliminating data entry. If you take 10 calls a day and miss 3 after hours, and the AI receptionist captures those 3 leads and sends you a summary each morning, that is a clear ROI even if your office manager still enters them into your system manually.

The integration question becomes more pressing as call volume grows and as manual entry becomes a meaningful labor cost. At 20 or more calls per day, the time your team spends entering data from calls the AI handled is significant. At that scale, native integration is worth paying for.
